Wedding florals
Terms and Conditions

These Terms & Conditions apply to wedding floral design, styling, delivery, installation, relocation and collection services provided by Hello Sweetpea Ltd (“we”, “us” or “our”) to our clients (“you” or “the Client”).

​

These terms should be read alongside your approved quotation/proposal and Wedding Floral Design Agreement.

​

1. Bookings

Your wedding date is secured once we have received your signed agreement and the required 25% booking payment.

​

Your approved quotation/proposal will confirm the agreed flowers, designs, quantities, services and prices.

​

2. Payment

A 25% booking payment is required to secure your wedding date.

​

The remaining balance is due 30 days before the wedding date, unless otherwise agreed in writing.

​

Bookings made within 30 days of the wedding may require payment in full at the time of booking.

​

We reserve the right not to purchase flowers, materials or begin preparation until payments due have been received.

​

3. Changes to Your Order

We are happy to accommodate reasonable changes where possible.

​

Changes to designs, quantities, colours, delivery arrangements or other services must be agreed in writing and may affect the price.

​

Final details should be confirmed no later than 30 days before the wedding. Changes requested within 14 days cannot be guaranteed due to flower availability, supplier lead times and preparations already made.

​

4. Flowers & Substitutions

Flowers are natural, seasonal products and are subject to availability, weather, market conditions and supplier availability.

Specific flower varieties, colours or sizes cannot always be guaranteed.

​

Where necessary, we may substitute flowers, foliage or materials with suitable alternatives of similar quality and value while maintaining the overall style, colour palette and design intention.

​

Images, moodboards and examples are intended to communicate the overall aesthetic and are not an exact representation of the finished designs.

​

Flowers are natural, perishable products and their appearance and longevity can be affected by environmental conditions outside our reasonable control, including temperature, heating, direct sunlight, humidity, draughts and water availability.

 

This applies to both indoor and outdoor settings. We therefore cannot guarantee the lifespan of flowers after delivery or installation where such conditions contribute to deterioration.

5. Delivery & Installation

You are responsible for providing accurate venue and delivery information and ensuring safe and reasonable access.

Any required venue permissions must be obtained by the Client.

​

Additional charges may apply for waiting time, restricted access, additional carrying, parking or additional journeys.

​

Where ceremony flowers are being relocated to the reception, this will only be possible where sufficient time, safe access and appropriate venue permissions are available.

​

Once delivery or installation has been completed, responsibility for the ongoing care and protection of the flowers passes to the Client. The Client is responsible for ensuring that the flowers are appropriately cared for and protected after delivery or installation.

​

We cannot accept responsibility for damage or deterioration caused after delivery or installation by the Client, venue, guests or other suppliers.

​

6. Outdoor Weddings & Weather

Flowers and installations can be affected by heat, sunlight, rain, wind, frost, humidity and other environmental conditions.

​

Where weather or ground conditions make an outdoor installation unsafe or likely to cause damage, we may need to modify, relocate or decline the installation.

​

7. Hire Items

Any hired vases, vessels, plinths, stands or other equipment remain the property of Hello Sweetpea Ltd.

​

A refundable hire deposit may be required where stated in your quotation.

​

The Client is responsible for taking reasonable care of hired items until collection. Lost or damaged items may be charged at their reasonable repair or replacement cost.

​

8. Cancellation & Postponement

If you need to cancel or postpone your wedding, please notify us in writing as soon as possible.

​

Cancellation charges will take into account the timing of the cancellation, work already undertaken and any flowers, materials, labour or other costs specifically committed to your wedding.

​

Where possible, we will take reasonable steps to minimise our losses.

​

If you wish to postpone, we will make reasonable efforts to transfer your booking to a new date, subject to our availability and any additional costs reasonably incurred.

​

Your statutory rights are not affected.

​

9. Client & Third-Party Responsibility

Once flowers or hire items have been delivered or installed, we cannot accept responsibility for damage caused by the Client, venue staff, other suppliers, guests or anyone else who moves, handles or interferes with them.

​

10. Photography & Marketing

We may photograph or film our floral designs and installations for our portfolio, website, social media, editorial features, awards and marketing.

​

Where photographs include identifiable individuals, we will obtain appropriate consent where required and handle personal data in accordance with our Privacy Policy.

​

11. Circumstances Beyond Our Control

We will not be responsible for delays or failure to provide our services caused by circumstances beyond our reasonable control, including severe weather, serious illness, supplier failure, transport disruption, venue closure, fire, flood or other unforeseen circumstances.

​

Where possible, we will work with you to find a reasonable alternative.

​

12. Liability

We will provide our services with reasonable care and skill.

​

Nothing in these Terms limits or excludes liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

​

Our liability is subject to these Terms, the Wedding Floral Design Agreement, applicable law and any statutory rights you may have.

​

13. Complaints

If you have a concern about the condition of your flowers or our services, please contact us as soon as reasonably possible, ideally within 24 hours of delivery or installation, so that we have an opportunity to investigate and put matters right where appropriate.

​

Where possible, please provide photographs and details of the concern to help us assess the issue promptly.

​

Nothing in this clause limits any statutory rights you may have.

​

14. General

Your approved quotation/proposal, Wedding Floral Design Agreement and any written amendments agreed between us form part of your contract with Hello Sweetpea Ltd.

​

If there is any conflict between documents, any specific written amendment takes priority, followed by the approved quotation/proposal, then the Wedding Floral Design Agreement, then these General Wedding Terms & Conditions.

​

15. Governing Law

These Terms are governed by the laws of England and Wales and are subject to the jurisdiction of the courts of England and Wales, subject to any mandatory rights you may have as a consumer.
